Privacy policy

Haven Pacific Advisory is a buyers agency working across the Gold Coast and the Tweed. This policy explains what personal information we collect, why we collect it, who we give it to and what you can do about it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
When you send an enquiry through this website we collect your name, your email address, your mobile number, and whatever you tell us about your budget, the areas you are considering, your timeframe and your situation.
If you go on to engage us, we collect what the search needs: your buying brief, your finance position and broker details, your solicitor or conveyancer, the property you buy, and the correspondence between us. Where the law requires us to verify your identity before acting for you, we collect identity documents for that purpose and no other.
We do not use analytics, advertising trackers or cookies that follow you between sites. This website does load its typefaces from Google Fonts, which means Google receives your IP address when a page loads.
Why we collect it
To answer your enquiry, to act for you as your buyers agent, to keep you updated, to meet our obligations as a licensed agent, and to keep the records the law requires us to keep. We do not sell your information and we do not add you to marketing lists you did not ask to be on.
Who we give it to
Only where it is needed to do the work or where the law requires it. That can include the selling agent when we are negotiating on your behalf, your solicitor or conveyancer, your broker or lender where you have asked us to deal with them, an identity verification provider, and inspectors or other specialists engaged for a property you are considering.
We also use service providers who store or process information for us, including our website host, our customer records system and our email provider.
Where it is stored
Our client records are held in a database hosted in India. Our website is served from a global content network, and our email is handled by Google Workspace, which stores and processes information in the United States and other countries. By giving us your information you consent to it being held and processed overseas in this way. We take reasonable steps to ensure it is handled securely, but overseas recipients may not be subject to the Privacy Act.
Keeping it safe, and how long we keep it
Access to our records is restricted to the people in our business who need it, and the systems we use are protected by authentication and encryption in transit. No system is perfectly secure, and we cannot guarantee the security of information sent to us over the internet.
We keep client records for as long as we are required to by law, and otherwise for as long as they are needed for the purpose they were collected. When records are no longer needed we destroy or de-identify them.
Seeing it, correcting it, or asking us to delete it
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email accounts@thehavenadvisory.com and we will respond within a reasonable time. There are some records we are required to keep even if you ask us to delete them, and we will tell you if that applies.
If you are unhappy with how we have handled it
Tell us first, at accounts@thehavenadvisory.com, and we will look into it and come back to you. If you are not satisfied with our response you can take the matter to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes
If we change how we handle personal information we will update this page and change the date at the top of it.
